Privacy Policy
Last updated November 2, 2026
This policy explains what information Lucent AI, Inc. (“Lucent”, “we”, “us”) collects when you use Lucent Scribe and our websites, how we use it, and the choices you have. Lucent Scribe is used by medical spas, wellness clinics and other practices (“practices”) to turn patient conversations into visit notes and follow-ups.
Patient information that a practice puts into Lucent Scribe belongs to that practice. We handle it on the practice’s behalf, as described in Patient information below. If you are a patient, please contact your practice about your information.
Information we collect
- Account information. Your name, email address, job title and sign-in details. If you sign in with Google, we receive your name and email address from Google.
- Practice information. Your practice’s name, address, website and team members, and the treatments and services you add.
- Content you add. Recordings of conversations you capture, the transcripts made from them, visit notes, follow-up messages, and the patient details you enter or import.
- Usage information. Pages you visit, features you use, your browser and device type, and session recordings of how you move through the app. Session recordings hide all text and everything typed into forms, so they do not show patient information.
- Cookies. We use cookies to keep you signed in and to understand how the app is used. On our marketing website, the Meta Pixel also uses cookies and similar signals for advertising measurement and audiences.
How we use information
- To provide Lucent Scribe: transcribing recordings, drafting notes and follow-ups, and keeping your practice’s records.
- To keep accounts secure and prevent misuse.
- To send service emails, such as team invitations and password resets.
- To support you when you contact us.
- To improve Lucent Scribe, using usage information.
- On our marketing website, to measure advertising and build advertising audiences using page visits and successful early-access requests.
We do not sell personal information, and we do not use patient information to train AI models.
Recordings
When you record a conversation, the audio is sent securely to our transcription provider to create a transcript. We keep the transcript and the notes made from it. We do not keep the audio after it has been transcribed.
Patient information
When a practice uses Lucent Scribe with patient information, we act as the practice’s business associate under HIPAA. We will sign a Business Associate Agreement (BAA) with your practice. Where a BAA is in place, it controls how we handle protected health information and wins over this policy if the two disagree.
We use patient information only to provide Lucent Scribe to the practice, as the practice directs and as the law allows. The practice is responsible for its own notice of privacy practices and for getting any consent needed to record conversations.
Who we share information with
We share information only with the companies that help us run Lucent Scribe, and only what they need to do that work:
- Supabase, for our database and sign-in.
- Vercel, for hosting.
- OpenAI, for transcription and drafting notes and follow-ups.
- PostHog, for usage information and session recordings.
- Meta, for advertising measurement and audiences on our marketing website. The Pixel can receive page URLs, browser and device information, IP addresses, cookies, and events such as a page view or successful early-access request. When you request a demo, our server also tells Meta about the request and includes your email address and phone number only in hashed (one-way scrambled) form, so Meta can match the request to an ad you saw. We never send Meta your name or practice details.
- Resend, for sending email.
Within your practice, owners and team members can see the practice’s details and team. We may also share information when the law requires it, to protect people’s safety or our rights, or as part of a merger or sale of our business, in which case this policy will continue to apply to your information.
How long we keep information
We keep your account, practice information and content for as long as your practice uses Lucent Scribe. Practices can delete sessions at any time. When a practice closes its account, we delete its content within a reasonable time, unless the law or a BAA requires us to keep it longer. We keep a record of who agreed to our Terms of Service and this policy, and when, as proof of that agreement.
Security
Information is encrypted when it travels between your browser and our servers, and when it is stored. Each practice can see only its own information, and team access is limited to people the practice invites. No system is perfectly secure, so please tell us right away at alisa@lucenthq.com if you think your account has been misused.
Your choices
You can update your account details and practice information in the app. To see, correct or delete other information we hold about you, email alisa@lucenthq.com. Depending on where you live, you may have further rights under state privacy laws, and we will honor them. Patients should send requests to their practice, and we will help the practice respond.
Children
Lucent Scribe is for practices and their staff. It is not meant for anyone under 18, and we do not knowingly collect information from children through our websites.
Changes to this policy
When we change this policy, we will update the date at the top. If a change is important, we will tell practice owners by email or in the app before it takes effect.
